In this area of the system, administrators can manage their default category subscription rates for the respective subscription periods.

Note: Only add category items that will relate to all members in the respective category. If a particular member wants to have a cart added to their subscription (e.g. Admin fee), this should be added to the members items, not the default category items.

1. Log in to DotGolf Clubhouse

2. Click on Settings and then Categories

3. Select the category you would like to manage subscription rates for using the drop down menu

Your club will be either with periodic billing or cyclical billing.

If your club is periodic billing;

1. Ensure the Billing Period is set up as Periodic for the category

2. Under the Subscriptions section, begin to add the line items that relate to this category. Alternately, you can copy the items from the previous year.

  1. Ensure the correct subscription period (year) is selected
  2. Select the Item to add
  3. Click Add
  4. Assign the amount for this item

For example:

  • NZG Levy
  • District Levy
  • Base Subscription

3. Once you have added all the items to the category, the total amount should match the cost for that membership category type.

E.g. If your membership category rate is $745, it should look something like this.

4. Finally, click Save on the Category.

If your club is cyclical billing;

1. Change the Subs Billing Period to Cyclical

2. Click Save Changes at the bottom of the page

3. Once saved,

Click "Create new period..."

4. Enter the start date this subscription is valid from:

5. Under the Subscriptions section, begin to add the line items that relate to this category

  1. Select the Item to add
  2. Click Add
  3. Assign an amount

For example:

  • NZG Levy
  • District Levy
  • Base Subscription

6. Once you have added all the items to the category, the total amount should match the cost for that membership category type.

E.g. If your membership category rate is $745, it should look something like this.

7. Finally, click Save on the Category.

Note:

  • Only add the category items that relate to the category. If a particular member wants to have a cart added to their subscription (e.g. Admin fee), this should be added to the members items, not the default category items.

  • If you have additional line items you would like to be included, we can add for you. (e.g. F&B Levy)
